This policy explains how ExecMedia ("we", "us") handles personal data when you visit execmedia.net, fill in one of our forms or email us. We have written it in plain English. If anything is unclear, email info@execmedia.net and we will explain.
Who we are
ExecMedia is a software product studio based at Office 101, First Floor, Liberty Arcade, Plaza 107, Sector G, Bahria Enclave, Islamabad, Pakistan. We are responsible for the personal data described in this policy. You can reach us at info@execmedia.net or +92 (51) 889 0199.
What we collect
When you fill in a form
The Start a project form asks for your name, email address, company (optional), what you want to build, a budget range, a timeline and a description of your project. The contact form asks for your name, email address, a topic and a message.
With each form, we also record the date and time, your IP address, your browser's user agent and the page you came from. We use these only to prevent spam and abuse and to understand where enquiries come from.
When you email or call us
We keep the emails you send us and notes of calls, so we can reply and follow up on your project.
When you browse the site
Our server keeps standard technical logs, including IP addresses, for security and to fix problems. If you allow analytics, Google Analytics collects information about how you use the site. See Analytics below.
Why we use it
- To reply to you and discuss your project or question.
- To prepare proposals and, if we work together, to run the project.
- To keep the site safe by blocking spam and abuse.
- To improve the site, using analytics only if you allow it.
We do not sell your data, and we do not use it for advertising. We do not add you to a mailing list unless you ask to join one.
Legal basis (for visitors in the UK and EU)
If data protection law in the UK or EU applies to you, we rely on these legal bases: our legitimate interest in replying to enquiries and keeping the site secure; steps you ask us to take before entering a contract, such as preparing a proposal; and your consent for analytics and embedded maps, which you can withdraw at any time.
Who can see your data
Form submissions and emails are seen by the ExecMedia team members who handle enquiries and projects. We use a small number of service providers to run the site:
- Hosting: our website and form data are stored on servers we manage.
- Email: form notifications and our replies are sent through our own mail server.
- Google Analytics, only if you allow analytics.
- Google Maps, only if you choose to show the map on the contact page.
If we work together on a project, we may share project information with team members and contractors bound by confidentiality. We will share data with authorities only when the law requires it.
AI tools and your data
We use AI tools in our development work. We do not paste personal data from enquiries into consumer AI tools. When a client project involves personal data, we use business services under appropriate data terms, or self-hosted models, as agreed with the client. See security and IP ownership.
Cookies and similar technology
We use a session cookie to protect our forms, and your browser's local storage to remember your theme and cookie choices. Analytics cookies and the embedded map are used only with your consent. Our cookie policy lists each one and lets you change your choice.
Analytics
If you allow analytics, we use Google Analytics 4 to understand which pages are useful and how visitors find us. It uses cookies and collects information such as pages visited, device type and approximate location. We do not use it to identify you. If you do not allow analytics, the analytics script is not loaded at all.
International transfers
We are based in Pakistan and work with clients worldwide. Your data may be processed in Pakistan and in countries where our service providers operate, such as Google for analytics and maps. Where the law requires it, we use appropriate safeguards for these transfers.
How long we keep it
- Enquiries that do not become projects: up to two years after our last contact, then deleted.
- Client project records: for as long as the contract and accounting rules require.
- Server and security logs: usually no more than 90 days.
- Spam protection records: a scrambled version of your IP address is kept for one hour to limit repeated submissions.
How we protect it
We use encrypted connections (HTTPS), limit access to the people who need it, keep software updated and store form backups outside the public part of the website. No system is perfectly secure, but we take care to protect your data, and we will tell you if a breach affects you where the law requires it.
Your rights
You can ask us to:
- Tell you what personal data we hold about you and give you a copy.
- Correct data that is wrong.
- Delete your data, unless we must keep it by law.
- Stop or limit how we use it.
- Withdraw consent for analytics or maps at any time, through the cookie policy page.
Email info@execmedia.net with your request. We reply within 30 days. If you are in the UK or EU and are not happy with our answer, you can complain to your local data protection authority.
Children
This website is meant for businesses and is not aimed at children. We do not knowingly collect data from anyone under 16.
Changes to this policy
We will update this page when our practices change and show the date of the latest change at the top. For significant changes affecting clients, we will also tell them directly.
