Clinics, therapy practices, dental offices and care providers carry a heavy administrative load. Staff search policy documents and guides for answers while patients wait.

Much of this work can be simplified without touching clinical decisions. Online booking, digital intake, reminders and internal search save hours each week. They also reduce no-shows and errors from retyped forms.

Patient data needs extra care. In the United States, HIPAA rules apply to health information, and any AI or cloud service that handles it must be covered by a business associate agreement. We design around those rules from the start, keep patient data out of AI tools unless it is covered, and keep clinicians in charge of every medical decision. We do not build diagnostic tools.

What it looks like in practice

An illustrative walk-through, not a client story.

A physical therapy practice with three locations moves booking online. New patients pick a location and a time, then complete intake forms on their phone before the first visit. The forms go into the practice system without retyping, and the therapist sees them before the patient arrives.

Reminders go out by text two days and two hours before each visit, with a link to reschedule. Staff use an internal assistant to answer questions such as how to handle a billing code or which form a new insurance plan needs. The assistant answers only from the practice handbook and shows the source. It never sees patient records, and it has no part in treatment decisions. Front desk staff now spend more of their day with the patients in front of them and less on the phone.
