Solution: Scheduling automation

Booking appointments takes too much back and forth

Customers book, reschedule and confirm on their own, by website, chat or phone assistant. Your calendar stays accurate, and reminders reduce no-shows.

Sounds familiar?

Signs this is costing you time

Scheduling looks simple until you count the messages. A customer asks for an appointment, you offer times, they reply a day later, the time is gone, and the loop starts again. Reschedules and cancellations add more. Phones ring during appointments, and the receptionist juggles several calendars at once.

No-shows are the other cost. A missed appointment is lost revenue and a slot someone else could have used.

Scheduling automation handles the routine booking conversation, keeps calendars in sync and sends reminders, so staff deal only with the exceptions.

It also gives you better information. You can see which services are booked most, which times are always full and which staff have gaps, and plan staffing and opening hours around real demand rather than guesses.

  • Booking a single appointment takes several messages or calls.

  • Calls go unanswered while staff are busy with customers.

  • Double bookings and gaps appear because calendars are not in sync.

  • No-shows waste slots that others wanted.

  • Customers cannot book outside business hours.

Before and after

How it works today, and how it works after

Before

How it works today

  1. Customers call or message to ask for a time.

  2. Staff check calendars and offer options.

  3. Confirmations and reminders are sent by hand, or not at all.

  4. Changes restart the whole conversation.

  5. Bookings are entered into several systems.

After

How it works after

  1. Customers book online or through a chat or phone assistant, any time.

  2. Only real availability is offered, across staff and rooms.

  3. Confirmations and reminders go out automatically.

  4. Customers reschedule or cancel with one link.

  5. Bookings appear in your calendar, CRM and billing tools.

What we build

What we build

Booking engine

Rules for services, durations, staff, locations and buffers, with live availability.

Chat and phone assistants

An assistant that books through conversation, using tool calling to check and hold slots.

Calendar sync

Two-way sync with Google or Microsoft calendars to prevent double booking.

Reminders

SMS, email or WhatsApp reminders with confirm and reschedule links.

Deposits

Optional deposits or card holds to reduce no-shows.

System updates

Webhooks that update your CRM, practice software or billing when bookings change.

In practice

What it looks like in practice

An illustrative walk-through, not a client story.

A physiotherapy clinic with four practitioners took bookings by phone. Reception spent much of the day on calls, and missed calls often meant lost patients. No-shows cost several appointments a week.

Now patients book online or by messaging the clinic, where an assistant offers real available times for the right practitioner and treatment type. Bookings sync to each practitioner's calendar. Two days before the appointment, patients receive a reminder with a one-tap confirm or reschedule link, and freed slots are offered to patients on a waiting list. Reception now handles new patient questions and billing, and calls the few patients who do not confirm.

Models and tools

AI models and MCP servers that usually fit

We choose models by task, data sensitivity and cost, and test them on your real examples before we commit. These are common starting points, not a fixed recipe.

How we build it

The services behind this solution

Most solutions combine two or three of our services. These are the ones this one usually needs.

AI chatbots

Website and messaging chatbots that answer common questions well and hand everything else to a person.

Voice AI

Speech to text, call summaries and voice assistants that take bookings or answer routine calls.

Web applications

Custom browser-based software for the work your team does every day, from booking tools to operations systems.

Industries where it fits best

Honest limits

Limits and human checks

Booking rules can be surprisingly complex: some services need certain rooms or equipment, some staff only do certain treatments, and some customers need extra time. We capture these rules carefully and test them before launch, because a wrong booking is worse than a slow one.

Chat and voice assistants handle routine booking well, but some callers prefer a person or have complex needs. Customers can always reach your team. In healthcare and other sensitive settings, we keep booking conversations focused on scheduling and route medical or personal questions to staff.
