What it looks like in practice
An illustrative walk-through, not a client story.
A property management company's shared inbox receives tenant requests, owner questions, contractor invoices and viewing inquiries, several hundred a week. One administrator spent most of each day reading and forwarding.
Now each email is tagged on arrival. Maintenance requests are marked urgent if they mention water, gas or no heating, extracted into a ticket with the property and tenant details, and sent to the maintenance coordinator. Invoices go to accounts. Viewing inquiries get a drafted reply with available slots for the lettings team to send. The administrator reviews a short list of messages the system was unsure about and handles owner relationships instead of forwarding mail.

Limits and human checks
Classification is usually accurate for clear categories, but ambiguous emails exist. Each message shows its assigned category and confidence, uncertain ones go to a review list, and anyone can correct a category in one click. Corrections improve future sorting.
Automatic sending needs care. We recommend drafts reviewed by a person, with automatic sending only for low-risk acknowledgments you approve. Emails about complaints, legal matters or sensitive personal issues are always routed to a person without an automatic reply.
Email contains personal data, so access to the connected inbox is tightly scoped, processing uses providers with suitable data terms and logs are kept within your systems.
