Solution: Payroll automation
Payroll takes days every month and still has errors
We turn your pay rules into tested software. Attendance, leave, allowances and deductions flow in, the system calculates, a person reviews, and every payslip goes out in one batch.
Sounds familiar?
Signs this is costing you time
For many growing companies, payroll is a monthly spreadsheet marathon. Someone collects attendance, leave, overtime and allowances from several sources, applies the pay rules for each employee, calculates deductions, builds payslips one by one and emails them individually. It takes days, and errors are found after staff have been paid.
Off-the-shelf payroll software works well for standard cases, but many companies have pay structures it does not handle: mixed salary types, project allowances, local rules or bonus schemes that live only in the spreadsheet.
Custom payroll automation captures your real rules in code, tests them against past months, and turns the monthly run into a review rather than a rebuild.
-
Payroll takes days every month.
-
Pay rules live in complex spreadsheet formulas only one person understands.
-
Errors are found after payment and corrected next month.
-
Payslips are created and emailed one by one.
-
There is no clear record of what changed and why.
Before and after
How it works today, and how it works after
How it works today
-
Attendance and leave are gathered from several places.
-
Each employee's pay is calculated in a spreadsheet.
-
Payslips are built from a template one by one.
-
Payslips are emailed individually.
-
Corrections are tracked in notes or memory.
How it works after
-
Attendance, leave and allowances flow in automatically or by import.
-
Pay is calculated by tested rules for each salary structure.
-
A reviewer checks a summary and any flagged changes.
-
Payslip PDFs are generated and sent in one batch.
-
Every change is logged with who, when and why.

In practice
What it looks like in practice
An illustrative walk-through, not a client story.
This solution reflects our payroll system case study for an IT services company with staff on different pay structures. Payroll was calculated by hand each month from attendance, leave, allowances and deductions, then payslips were emailed one by one. Errors were found late, and corrections took longer than the payroll itself.
The new system holds each employee's structure, takes attendance and leave as inputs, and calculates pay with rules that were turned into tested code, with edge cases listed and covered by tests. The monthly run is now a review: finance checks a summary of changes, approves, and all payslips go out in one batch. Getting email delivery right was part of the job too, since a self-hosted mail server needed proper sender setup before large mail providers would accept the payslips.

How we build it
The services behind this solution
Most solutions combine two or three of our services. These are the ones this one usually needs.
Internal tools
Custom software for your own team: trackers, approval flows and back-office systems that replace spreadsheets.
Business process automation
Map a process that runs on email and spreadsheets and turn it into software with clear steps and owners.
Database design
Data models that stay fast and correct as your business grows, with backups and access rules in place.
Industries where it fits best
Honest limits
Limits and human checks
Payroll must be exactly right, so AI does not calculate pay. Calculations come from rules written as code and tested against historical payroll, run in parallel with your current process until they match to the cent. AI helps during the build: turning spreadsheet logic into draft code, listing edge cases and writing tests, all reviewed by engineers.
Tax and labor law differ by country and change regularly. We implement rules as your accountant or payroll adviser defines them and make them easy to update. We are not a payroll bureau and do not give legal or tax advice.
Salary data is sensitive. Access is restricted by role, data is encrypted, and every view and change is logged.
