A growing software company hires several people a month. HR used a spreadsheet checklist and many emails, and new starters often waited days for access to key systems.

Now, when an offer is signed, the workflow starts. The new hire receives a welcome email with forms and policies to sign online. IT gets a task to order a laptop and create accounts, due one week before the start date. The manager is reminded to plan the first week and schedule check-ins at one, four and twelve weeks. Automation cannot replace a warm welcome. The workflow makes sure practical steps happen; managers and teams still make people feel part of the company. We design reminders to prompt that human side, not replace it.

Account provisioning touches security. Automated account creation needs careful permissions, and access should be reviewed when roles change and removed when people leave. We often build offboarding at the same time for that reason, so access is removed on the day someone leaves and equipment comes back.

Employee records are personal data. Documents are stored securely with access limited to HR and the relevant manager.
