What is workflow automation?

Workflow automation uses software to move work through a series of steps, such as routing, approvals and notifications, based on rules and events.

What it means

A workflow is a sequence of steps: a request is submitted, checked, approved and completed. Workflow automation makes software handle the handoffs: assigning tasks, sending reminders, moving data between systems and recording what happened.

Tools range from no-code platforms such as Zapier, Make and n8n to custom workflows built into business apps. AI can add steps that read and classify messy inputs.

Why it matters for a business

Handoffs are where work gets stuck: waiting in inboxes, forgotten or passed to the wrong person. Automating them speeds up processes and gives everyone a clear view of status.

Things to watch

  • Map exceptions, not just the happy path.

  • Give every step a clear owner.

  • Add reminders and escalations for delays.

  • Monitor for failed or stuck workflows.
