What it looks like in practice

An illustrative walk-through, not a client story.

A staffing firm fills warehouse and office roles for local employers. For each new role, the recruiter writes the must-have and nice-to-have criteria. As applications arrive, an assistant reads each CV and produces a short summary showing which criteria the candidate meets, with the evidence quoted from the CV. It does not reject anyone.

The recruiter reviews the summaries, picks candidates to call and sends them a booking link for a phone screen. During the call, a notes assistant, used with the candidate's consent, records a summary and updates the ATS. When a candidate is placed, onboarding forms and document requests go out automatically, and the recruiter sees what is still missing on one screen.

Every month, the firm reviews a sample of summaries against the recruiter decisions to check that the criteria are applied fairly.

Recruiters now spend more of the day on calls with candidates and clients, and the ATS is up to date without evening catch-up.
